Who is responsible

Contact enquiries

We receive the details you enter into our forms: name, email address, company or project, message and, on the detailed form, role, website, objectives, KPI, timeline, funding status and referral. We use them to assess your request, reply and discuss a possible engagement. Fields identified as required are needed to handle the enquiry; without them the form cannot be submitted. Optional fields can be left blank. Our legal basis is our legitimate interest in responding to business enquiries and managing professional relationships. Where you personally request steps toward a contract with us, the legal basis is taking those pre-contractual steps at your request. We do not use a website enquiry as consent to unrelated marketing.

Technical information and security

Requests to the website include technical information such as IP address, browser information and requested URLs. Hosting and application infrastructure may record this information to deliver the site, diagnose faults and prevent abuse. The contact endpoint uses the client IP address for a limit of five submissions per ten minutes; recent submission timestamps are held in application memory. The legal basis is our legitimate interest in operating a reliable and secure website.

Optional analytics and session recordings

Only if you choose to allow analytics, Google Analytics 4 measures visits and pages viewed, and Microsoft Clarity records interactions such as clicks, scrolling and cursor movement to help us understand and improve the website. These services may process online identifiers, browser/device information, page URLs and interaction data. The legal basis is consent. You can decline without losing access to the site and withdraw at any time using Cookies & settings. Withdrawal does not affect the lawfulness of earlier processing. Please do not include sensitive personal information in contact messages.

Providers and recipients

Enquiries are sent to LetzClick by email through Resend (Plus Five Five, Inc.). Our business email uses Google Workspace. Hetzner provides website hosting. Google Analytics and Microsoft Clarity receive analytics information only after your opt-in. Authorised people handling your enquiry within LetzClick have access to it. Personal data may also be disclosed where required by law or necessary to establish, exercise or defend legal claims. The contact endpoint sends an acknowledgement email as well as a notification to LetzClick.

International processing

Website hosting is in Germany. Resend stores service data, including message content and delivery logs, in the United States. Google and Microsoft services can involve processing outside the European Economic Area. Resend publishes standard contractual clauses and EU–US Data Privacy Framework arrangements in its data processing addendum. Google and Microsoft publish their applicable data processing and transfer terms. The applicable mechanism depends on the service and receiving entity: an adequacy decision where applicable, or appropriate safeguards such as the European Commission’s standard contractual clauses. How long information is kept

If your enquiry does not lead to a client engagement, we delete your correspondence 24 months after our last contact with you. If it leads to an engagement, related records are kept for the duration of that engagement and, where applicable, for the retention periods required by Luxembourg accounting and commercial law (currently 10 years under Article 16 of the Luxembourg Commercial Code). Records may also be kept longer where needed to meet a legal obligation or to establish, exercise or defend a legal claim. Technical logs are retained according to their operational and security purpose. Provider retention may differ from the lifetime of a browser cookie; a cookie expiry is not a promise that all related provider records are deleted on that date. Our cookie notice lists browser-storage durations. You can ask us about the retention applicable to your enquiry.

Your rights

Subject to the conditions of the GDPR, you may request access, correction, erasure, restriction and portability of your personal data. You may object to processing based on legitimate interests and withdraw consent for processing based on consent. Email hello@letzclick.lu to exercise your rights. We may need proportionate information to verify your identity. You may complain to the Commission nationale pour la protection des données (CNPD), Luxembourg, at cnpd.public.lu. You do not have to contact us before making a complaint.

Decisions and scope

We do not make decisions about your enquiry solely through automated processing that produce legal or similarly significant effects. This notice covers this website and related enquiries. Processing personal data on behalf of a client during a project is governed by the relevant client agreement and, where required, a data processing agreement.
